This policy explains what information CustodiFlow collects, how we use it, and the choices you have. It applies to the CustodiFlow pilot.

1. Information we collect

Account information: your name, email, organization name, and the accounts you create for managers and crew.

Operational data: the sites, storage locations, items, inventory levels, suppliers, reorder requests, and inventory events (scans) you record in the Service.

Usage information: basic technical and product-usage data, such as feature usage and error logs, used to operate and improve the Service.

2. How we use information

We use your information to provide and maintain the Service, generate your reports and reorder recommendations, power the AI assistant over your own data, secure your account, communicate with you about the pilot, and improve the product.

3. AI assistant processing

When you use the AI assistant, the relevant question and a scoped summary of your janitorial analytics are sent to our AI provider (OpenAI) to generate a response. The assistant is restricted to your organization's data and janitorial topics. We do not use your data to train third-party public models.

4. How we share information

We do not sell your data. We share information only with service providers that help us run CustodiFlow (such as cloud hosting and the AI provider noted above), and when required by law. Each organization's data is logically isolated from other organizations.

5. Data security

We use multi-tenant isolation, role-based access controls (owner, manager, crew), encrypted connections in transit, and hashed passwords. No system is perfectly secure, but we take reasonable measures appropriate for a pilot and will continue to strengthen them.

6. Data retention

We retain your data for as long as your account is active. After cancellation we make your data available for export for a reasonable period, then delete it. You may request earlier deletion by contacting us.

7. Your choices

You can access and update most information directly in the app. You may request a copy or deletion of your organization's data, or ask questions about this policy, using the contact below.

8. Changes to this policy

We may update this policy as the product evolves. We will revise the "last updated" date and, for material changes, provide additional notice.
